Environmental Policy
Formal document setting out the principles, commitments, and implementation mechanisms of Acople Digital, Ltd. for the responsible use of resources, technology equipment, and electronic waste in the course of its activity as a digital services and products company.
1. Company identification
Acople Digital, Ltd. (hereinafter, "the Company"), corporate ID (cédula jurídica) 3-102959274, is a Costa Rican company dedicated to software development, applications, digital design, automation, and artificial intelligence for clients in Costa Rica and abroad.
2. Purpose
To set out the principles, commitments, and mechanisms through which the Company responsibly manages the environmental impact of its activity, recognizing that this impact stems mainly from electricity consumption, the use of technology equipment, the generation of electronic waste, and the travel associated with its operation.
3. Scope
This policy applies to the Company’s operation in Costa Rica, to its staff and contractors, and to purchasing, use, and disposal decisions regarding technology equipment made by the Company. It also serves as a guiding criterion for the design of the software, automation, and artificial intelligence solutions the Company develops for its clients.
4. Environmental principles
- Environmental protection is compatible with running a digital services and products company and is part of its everyday decisions, not an isolated external requirement.
- A technology company’s environmental impact stems mainly from electricity consumption, equipment lifespan, and travel — not industrial processes — so this policy’s measures focus on those areas.
- Environmental improvement is progressive and proportional to the Company’s size and nature: it adopts reasonable, verifiable practices, not commitments it cannot sustain or document.
- Prevention and reduction at the source are preferred over correcting impact after the fact.
5. Commitments
The Company commits to:
- Comply with environmental legislation in force in Costa Rica applicable to its activities, including waste management and extended producer responsibility rules where applicable.
- Prioritize digital processes and documentation over paper in its internal operations and in its relationship with clients and suppliers.
- Reduce unnecessary paper use and printing, reserving physical printing for cases where it is strictly necessary.
- Promote the efficient use of electricity and of the technology equipment used in the Company’s operation.
- Select technology equipment considering durability and energy-efficiency criteria, within the options reasonably available for the Company’s budget.
- Reasonably extend device lifespan through maintenance, upgrades, and repair before considering replacement.
- Favor the reuse and repair of electronic equipment over discarding it, and ensure its proper final disposal once it can no longer be used.
- Hand over the electronic waste it generates only to authorized waste handlers, when such handling applies and authorized handlers are available and accessible.
- Reduce unnecessary travel through remote work and virtual meetings when feasible for the nature of the project or the client relationship.
- Consider reasonable environmental criteria when selecting technology and cloud-service providers, within the alternatives available in the Costa Rican and regional market.
- Consider computational resource consumption as a design criterion when developing software, automation, and artificial intelligence solutions, avoiding disproportionate compute use when reasonable alternatives exist.
- Responsibly dispose of information and technology resources that are no longer needed, in line with the Company’s data-protection and confidentiality obligations.
- Raise awareness among staff and contractors about these environmental practices as part of their relationship with the Company.
- Keep a simple annual record of the environmental actions carried out, per the "Implementation actions" section of this policy.
- Review this policy and the practices that implement it annually for improvement opportunities.
6. Implementation measures
The commitments above are implemented, among other means, through the following measures:
Documentation and processes
Use of digital signatures, contracts, and proposals, and cloud-based document storage as the default over printing.
Equipment and energy
Energy-saving settings (automatic sleep, screen shutdown) configured on the Company’s equipment, and preference for energy-efficient equipment when renewing or acquiring hardware.
Lifespan and disposal
Maintenance and repair of equipment before replacement; internal reuse of functional equipment; handover of decommissioned equipment to authorized e-waste handlers when the Company cannot reuse or repair it.
Travel
Virtual meetings as the default with clients, suppliers, and remote staff, reserving in-person travel for cases that genuinely require it.
Suppliers and cloud services
Consideration of a provider’s reasonable environmental practices (for example, declared energy efficiency of a cloud infrastructure provider) as one criterion, not the only one, when selecting technology providers.
Software and AI design
Consideration of computational consumption (for example, model size, execution frequency, actual need for intensive compute) when designing software, automation, and artificial intelligence solutions for the Company and its clients.
7. Responsibilities
The Company’s General Management is responsible for approving, keeping in force, and reviewing this policy. Each staff member and contractor is responsible for applying the practices described in this policy within the scope of their role, including proper use of assigned technology equipment and observance of the established energy-saving and paper-reduction measures.
8. Monitoring
General Management keeps the annual record of environmental actions described in the "Implementation actions" section of this policy, as a basic monitoring mechanism proportional to the Company’s size. This record serves as the basis for the policy’s annual review.
9. Review and continuous improvement
This policy is reviewed at least once a year, or sooner if a significant legal, operational, or technological change makes it necessary. Each review is documented with its date and outcome, and may result in a new version of this document.
10. Implementation actions
Concrete, verifiable measures the Company documents from this policy’s effective date onward:
- Documented preference for digital signatures and documentation in internal operations and in the relationship with clients.
- Energy-saving settings enabled on the Company’s internal technology equipment.
- A basic inventory of the Company’s technology equipment, updated at least once a year.
- A record of the repair, reuse, or final disposal of each piece of equipment taken out of service.
- Basic environmental criteria (energy efficiency, durability) considered in the Company’s technology purchases.
- A documented annual review of this policy, with the date and outcome of the review.
- A record of the internal environmental awareness sessions held with staff and contractors.
11. Approval, version, and effective date
This is version 1.0 of Acople Digital, Ltd.’s Environmental Policy, approved by General Management on September 3, 2026, effective as of that same date. Its next ordinary review is scheduled for September 2027, without prejudice to an earlier review under the previous section.
